Article 1 – Purpose
These General Terms and Conditions of Service (T&Cs) define the terms and conditions under which the voice-over artist, Voix Off by Charlotte, hereinafter referred to as “the Service Provider,” offers voice-over recording services through her website www.voixoffbycharlotte.com, as well as the terms of purchase by the Client, hereinafter referred to as “the Client,” of these services.
These T&Cs prevail over any other Client document unless otherwise agreed in writing by the parties.
Article 2 – Services Offered
The Service Provider offers professional voice-over recording services for various media, including:
- Television, radio, or online advertisements
- Corporate films and institutional videos
- Documentaries and narrations
- Interactive voice response systems and telephone messages
- E-learning and educational content
- Commercial presentations, audio guides, and other specific needs
The services also include:
- Artistic direction during the recording
- Audio post-production: editing, cleaning
- Delivery of files in the requested digital format (WAV, MP3, etc.)
Article 3 – Ordering
3.1 Ordering Procedure
The Client places an order via the Voix Off by Charlotte website or by any other communication method accepted by the Service Provider:

Each order must include the following information:
- Nature of the project and type of voice sought (gender, age, style, accent)
- Text to be recorded and specific instructions regarding tone or interpretation
- Details regarding usage rights (duration, media, territories)
- Desired delivery deadlines
- Number of words or finished minutes to be recorded
These terms apply to services performed in France and abroad.
3.2 Order Confirmation
An order is confirmed when the Client accepts the T&Cs, any applicable quote, and completes payment. Any modification to the order after confirmation requires the Service Provider’s approval and may result in additional charges or extended deadlines.
3.3 Order Cancellation
The Client may cancel the order before the service begins, subject to administrative fees. Once the service has commenced, no refund will be issued upon cancellation.
Article 4 – Pricing and Payment Terms
4.1 Pricing
Service prices are quoted in euros, net of VAT, as VAT is not applicable under Article 293-B of the French General Tax Code. Prices are determined based on project complexity, recording duration (flat rate, per second, per minute, per word), and usage rights (commercial use, geographic scope, duration). Custom quotes can be provided upon request for specific projects.
4.2 Payment Terms
Payment must be made in full before the service begins unless otherwise agreed for quotes of €300 or more, where payments can be staggered: 40% deposit and 60% upon delivery.
Accepted payment methods include bank transfers or secure online options (via Wise or PayPal).
4.3 Late Payments and Penalties
In the event of late payment, the Service Provider reserves the right to suspend the service and apply legal interest penalties. Failure to pay on the agreed date will result in immediate payment of all outstanding amounts. A flat recovery fee of €40 will also apply under Article D. 441-5 of the French Commercial Code, without prejudice to further damages.
Article 5 – Service Execution
5.1 Delivery Times
The Service Provider commits to performing services within the timeframes defined at the time of order confirmation. These timeframes are indicative and depend on the project’s complexity and the timely provision of necessary elements by the Client.
5.2 File Delivery
Audio files are delivered electronically (email, secure download link) in the requested format (WAV, MP3, etc.). The Client must verify the files upon receipt. Any claim for non-conformity must be submitted within seven (7) days of delivery.
5.3 Pick-Ups or Corrections
The Service Provider will make minor corrections or adjustments (“pick-ups”) to delivered files if errors in pronunciation or interpretation are due to the Service Provider’s fault.
- Free pick-ups: The Client is entitled to two (2) minor adjustments free of charge.
- Additional pick-ups: Beyond this, additional fees will apply based on the duration and nature of the requested modifications. Text or instruction changes after the initial recording will be treated as additional services and billed separately.
Article 6 – Intellectual Property Rights
6.1 Usage Rights Assignment
The Service Provider assigns usage rights for recorded voice-overs as specified in the order (duration, territory, media). Assigned rights include:
- Limited use for the specified duration and geographic areas (e.g., national use for 1 year).
- Specific media detailed in the order (TV, radio, web, etc.).
The rights assignment becomes effective only after full payment. Unauthorized usage requires a new written agreement and adjustment of fees.
6.2 Prohibited Use
The Client agrees to use audio files strictly as defined in the order. Unauthorized use (resale, redistribution, modification, artificial intelligence processing) without the Service Provider’s consent constitutes copyright infringement and may result in legal action.
6.3 Promotional Use by the Service Provider
The Service Provider reserves the right to use recorded voice-overs as examples or demos for promotional purposes on her own platforms (website, portfolio, social media), unless the Client objects in writing when placing the order.
Article 7 – Liability
7.1 Service Provider’s Obligation
The Service Provider is committed to providing services in accordance with professional standards. Liability is limited to the proper execution of defined services. In case of proven fault, liability is limited to direct damages, excluding indirect damages.
7.2 Client’s Obligation
The Client guarantees the legality of texts provided for recording and assumes responsibility for any consequences arising from their use.
Article 8 – Withdrawal Rights
As per Article L121-21-8 of the French Consumer Code, withdrawal rights do not apply to fully executed services initiated with the Client’s consent.
Article 9 – Claims and Disputes
Claims must be submitted in writing within seven (7) days of delivery. Failing amicable resolution, disputes will be subject to the jurisdiction of the courts where the Service Provider is registered.
Article 10 – Personal Data Protection
The Service Provider complies with GDPR. Data collected is used exclusively for order processing. Clients may access, rectify, or delete their data by contacting hello@voixoffbycharlotte.com.
Article 11 – Force Majeure
Neither party shall be held liable for delays caused by force majeure (natural disasters, wars, strikes, pandemics, etc.).
Article 12 – Final Provisions
If one or more clauses of these General Terms and Conditions of Sale (GTCS) are deemed null or unenforceable by a competent court, the other provisions shall remain in effect. The Service Provider reserves the right to modify the GTCS at any time, without prior notice. However, the GTCS applicable to the Client are those in effect at the time of the order.
Article 13 – Applicable Law
These general terms and conditions are governed by French law. They are written in French. In the event that they are translated into one or more languages, only the French text shall prevail in the event of a dispute. The parties agree to seek an amicable resolution to any dispute that may arise from the execution of the services. If they fail to reach an agreement, the parties will submit the dispute to the competent commercial court.
